A clear invoice gets paid faster. Here's what to put on a consulting invoice, a sample you can download, and a quicker way to make your own.
What to put on a consulting invoice
- Your business name, phone, email and address, and your tax ID if you collect sales tax.
- The client's name, company and billing address.
- An invoice number, the invoice date and a due date. 15 or 30 days is common for companies.
- The work, line by line: hours by task or a fixed project fee, the period it covers, and any expenses you're passing on, each on its own line.
- Subtotal, any discount, sales tax and the total.
- Any deposit already paid, and the balance still owing.
- How to pay: a payment link, bank details or a check payee.
- Short terms, such as the due date and what happens if it's late.
Tips that get consulting invoices paid
- Match the invoice to the agreement: the same rate, the same deliverables and the same dates.
- For retainers, invoice at the start of each month so the work is paid before it's done.
- Attach receipts for expenses you pass on, and say whether you've added a fee on top.
- Reference the quote they accepted, so there are no surprises about the price.
- Make paying easy. One tap to copy your payment link beats a bank number on paper.
- Follow up on the due date and again a week later. A polite reminder is usually all it takes.
