Free IT services invoice template
A clear invoice gets paid faster. Here's what to put on an IT services invoice, a sample you can download, and a quicker way to make your own.
What to put on an IT services invoice
- Your business name, phone, email and address, and your tax ID if you collect sales tax.
- The client's name, business name and address.
- An invoice number, the invoice date and a due date. 14 to 30 days is common for business clients.
- The work, line by line: hourly support or a fixed fee per job, each device or piece of hardware with its model, and any monthly plan on its own line with the month it covers.
- Subtotal, any discount, sales tax and the total.
- Any deposit already paid, and the balance still owing.
- How to pay: a payment link, bank details or a check payee.
- Short terms, such as the due date and what happens if it's late.
Tips that get IT services invoices paid
- Write what you fixed in plain words, like "Replaced failing hard drive and restored files". The client sees the value, and you have a record.
- Bill monthly support plans at the start of the month, and one-off work when it's done.
- List hardware with its serial number. It helps with warranty claims later.
- Reference the quote they accepted, so there are no surprises about the price.
- Make paying easy. One tap to copy your payment link beats a bank number on paper.
- Follow up on the due date and again a week later. A polite reminder is usually all it takes.
